The Sourcing Specialist is responsible for negotiating industry leading national agreements. Their objective is to ensure best in class industry pricing and contract terms and conditions.

The key area of focus is sourcing initiatives that are primarily categories with low levels of spend, complexity, risk and sensitivity. The role holder may have some responsibility for other types of categories for the purposes of development and workload allocation.

The role holder applies their knowledge or experience in principles and concepts related to sourcing and contract management. The role holder builds on their knowledge of the industry, HealthTrust, processes, suppliers and customers. They apply practices and policies in analysing situations and data and solve a range of problems.

 

DUTIES (included, but not limited to):

Project Management

• Plans and executes project timelines for assigned categories, with guidance from their manager.

• Translates objectives into project planning priorities, creates and manages work plans and timelines for multiple projects and priorities, and finalises negotiations in the timeframe designated for the project

• Delivers a quality project.

 

Category Knowledge

Understands or demonstrates an aptitude to learn the product categories assigned and how end-users interface with the products/services including but not limited to:

• Product features and benefits

• Product comparisons between supplier offerings and impact on healthcare providers in

deriving value through conversion opportunities

• Interprets and uses market information provided by HealthTrust Europe Sales & Marketing Team and US Global Sourcing Team

 

Supplier Knowledge

• With guidance from manager, uses knowledge about supplier to execute strategies, create leverage, and mitigate risks.

 

Strategy Development, Validation and Risk Mitigation

• For assigned categories, develops the strategy with the support of their manager, seeking guidance for risk issues and agreeing on risk mitigation strategies.

 

Sourcing Process

• Under general supervision, being responsible for the sourcing process for their assigned categories. This includes market research, bid preparation, RFI, strategy development & validation, SQ, RFP/ITT, contract negotiations, and contract launch.

• Presents category strategies and final awards to internal stakeholders for review and discussion, prior to being validated by members.

• Delivers quality presentations to customers.

• Undertakes a pre- assessment of award scenarios and utilises outputs to inform sourcing strategies for assigned categories.

• Utilises knowledge of procurement processes to determine appropriate procurement approaches required to deliver required value for all stakeholders.

• Undertakes end to end sourcing initiatives in line with organisation’s sourcing practices.

 

Supplier and Customer Relationship Management

Supplier:

• Oversees the supplier relationship during the sourcing process. Participates in supplier business reviews and reviews new products/technologies/services as they arise in assigned categories.

Customer:

• Builds effective working relationships with customers with interaction primarily being through member presentations.

• Identifies key customer relationships to be established, to support the growth of the assigned portfolio.

• Builds and nurtures effective customer relationships through frequent interactions (all levels, including executive) and engagement activities.

 

Communications

Focusing on effective and efficient communications with internal stakeholders and suppliers. Key communications include:

• Facilitating conversations with internal stakeholders during project kick-off to gather feedback, opinions, and alignment of resource needs to meet contracting initiative timelines.

• Communication of bid process, negotiation status, agreement on terms, financial proposal concerns and other matters with supplier and internal team.

• Developing contract launch materials and working with Portfolio Leads to ensure all contract materials are maintained.

 

Collaboration

Collaboration required with functional team throughout sourcing process as set out below:

• Legal staff on development and finalization of contract.

• Commercial analysts on preparing and assessing supplier proposals.

• Clinical Integration and Operational Support Team to prepare for contracting initiatives and implementation of awarded agreements.

• Account management in their customer-facing duties related to the portfolio.

 

Financial & Operational Goals

• Meets financial & operational goals in the annual contracting plan.

 

Policies & Procedures

• Ensures activities adhere to all established policies and procedures and standards of business conduct.

 

Customer Service

• Works with Portfolio Leads to resolve supplier and/or customer issues.

• Maintains strong internal and external customer relationships and builds trust and respect by consistently meeting or exceeding customer expectations.

Works with HealthTrust Europe audit team to assist and facilitate engagement and finalization of audit projects.

• Demonstrates strong analytical skills with the ability to create or interpret potentially complex financial models.

• Demonstrates consistently good attention to detail.

• Works effectively as part of a team.

• Understands and interprets complex instructions, proposals, and contract language.

• Listens and separates ancillary information from the primary content being communicated, asks appropriate questions to clarify and confirm understanding.

• Demonstrates excellent oral, written communication skills and presentation skills.

Solid knowledge of all MS Office Products, proficient in the use of Excel, Word and PowerPoint.
